Colconquerors Terms & Conditions

It is the responsibility of you as an individual to ensure you read and understand the conditions of booking set out below. If there are any questions you should ask these in advance of confirming your holiday. If you are making the booking on behalf of others it is the responsibility of the lead person named on the booking form to ensure that all others have seen, read and understood the booking conditions as the person signing and returning the booking form will be responsible for themselves and those within the group.

Deposit & Booking Process

A non refundable deposit of between 300.00€ and 500.00€ is required depending on the trip type, deposit amounts are stipulated in each trips web page. Any reservation is not confirmed until a deposit for the trip is received and a fully completed booking form is returned to us. We will assist in holding a place for you for 5 days to help you arrange the logistics of your trip but after this time places will not be held. 

Deposits are non refundable and non transferrable between trips or other people. If the booking is made within 12 weeks before the start date of the trip full payment must be made upon booking.

Receipt of a deposit & completed booking form confirms your acceptance of our terms and conditions and that at this point there is a binding contract between us.

Final balance payment

Balance payments must be made in full 12 weeks prior to the start of your trip. If the balance of your trip is not received by this time we reserve the right to cancel your trip (conditions apply see 'Cancellation by us' section). Transfers of deposits or balance payments between trips or people is not permitted.

Cancellation by you

If you have to cancel your place on a trip for any reason including not being able to travel the following conditions apply as we have obligations to hotels and other service providers and carry a risk that we may not be able to re-sell the place you have cancelled.

If you have to cancel the trip the following deductions will apply:

  • Up to 12 weeks before arrival: 100% of deposit will be retained.
  • 12 weeks or less prior to the trip start date: 100% of total payment will be retained.

Deposit and balance payments are not transferrable to other people or trips.

You must ensure that you take out suitable travel insurance to cover all of your costs should you need to cancel within the 12 week period. (see Travel insurance below).  We will supply the required documents to assist you in your insurance claim.

Cancellation by us

In very unusual circumstances we may be forced to cancel a scheduled holiday for reasons that are outside of our control. If we do have to cancel a holiday you will be offered the possibility of transferring monies paid to a holiday of similar value and quality. If the trip is of a higher value you must pay the difference and if the trip being transferred to is of a lower value we will refund you the difference.

We reserve the right to cancel your booking 12 weeks before the date it is due to start If you have not paid the outstanding balance as detailed in the booking confirmation form. We will send a balance payment reminder 2 weeks prior to the balance due date, if we have not received outstanding monies in full by 11 weeks before the start date of your holiday and you have not contacted us to arrange for outstanding monies to be paid we have the right to cancel your holiday with us due to this default in payment. If this situation arrises we can’t be responsible for any costs or expenses you may incur as a result of this cancellation.

We reserve the right to cancel/curtail your place on the holiday you are booked on with us if you have no suitable insurance policy in place (see 'Travel insurance' section below).

We reserve the right to cancel/curtail your holiday at any time during your holiday if you refuse to wear your cycling helmet whilst on your bike. A cycling helmet is to be used at all times for your personal protection.

We reserve the right to cancel/curtail your holiday at any time during your holiday if you refuse to follow any medical or other professional advice that has been given to you prior to or during the trip.

We reserve the right to cancel/curtail your holiday at any time during your holiday if you behave in an aggressive or inappropriate way to others in the group, our staff or anyone providing services to us. This includes being threatening or abusive, damaging property, upsetting, annoying or disturbing any other traveller, our staff, our partners or putting any of them in danger.

Changes you make to your holiday

If you would like to make changes to your holiday after the time that we have sent you the confirmation of your holiday we will try to do our best to help but can’t guarantee that they will always be met  and there may also be administration costs involved.

If you cancel a single room supplement within 12 weeks prior to the start date of your holiday we can’t issue a refund.

If you decide to upgrade to a single supplement after the trip balance has been paid we can’t guarantee that this is possible as this may leave another sole guest in a room that was due to be occupied by 2 people sharing.

If you are unable to travel to join the holiday then the cancellation charges set out in the section above ‘Cancellation by you’ would apply.

Changes to your trip by us

We reserve the right at any time to change to alternative accommodation or to make any other changes to holidays which are required as a result of circumstances beyond our control. In these circumstance we will inform you as soon as possible.

Travel Insurance

Colconquerors guests staying and/or traveling with us must have suitable travel insurance in place covering accident, personal injury, loss of luggage, theft, bike insurance, travel and flight disruption and cancellation as a minimum. You must ensure that your personal belongings which includes your bike are insured to an appropriate value as we can accept no responsibility for loss or damage to your personal belongings. You should also include public liability insurance in case you are implicated in having caused an accident. 

We advise you to seek out a high quality travel insurance company to fulfil your holiday insurance needs and as a minimum should include but not be limited to the following:

  • Medical treatment and repatriation 
  • cancellation and/or curtailment of your holiday with us
  • loss or theft of your personal belongings including your bike
  • personal accident
  • personal liability
  • travel delay
  • travel cancellation
  • emergency rescue
  • legal costs

You must provide us with details of your travel insurance policy before the start date of your holiday. If you do not have a suitable level of insurance you will not be allowed to participate in the holiday operated by us. We reserve the right to cancel or curtail your holiday without any form of compensation or refund if you fail to provide us with any proof or information relating to your insurance policy or if we deem that the insurance you have in place is not adequate.

You agree to indemnify us from any claim whatsoever arising from your failure to comply with this section ‘Travel Insurance’.

Liability

Colconquerors are not liable for personal injury, death, damage to property (including bikes)or other loss whether arising from accident, cancellations, theft, flight changes, flight cancellations, delays and matters beyond our control (see 'Force majeure' below). It is your responsibility to ensure that you have an appropriate level of insurance in place.

Force majeure / Events beyond our control     

We will not accept liability of pay any compensations where the performance of our contractual obligations is prevented or affected by ‘force majeure’. In our business ‘force majeure’ means any event which we or our suppliers of the service(s) in question could not even with all due care foresee or avoid.  Examples of events beyond our control are: war, threat of war, riots, civil disturbances, terrorist activity or its consequences, industrial disputes, any failure to secure relevant flying rights, natural or nuclear disasters, fire, health risks, pandemics, epidemics, unavoidable and unforeseeable technical problems with transport, closed or congested airports or ports, actual or potential severe weather conditions, the imposition of sanctions or other Governmental advice/action and any other similar events beyond our reasonable control.

Flights 

It is your responsibility to arrange the flights for your holiday, we are not responsible for any aspect of making flight arrangements. We do not accept any liability for any cancellation/or curtailment of your holiday due to reason of any delay or cancellation of your flight arrangements.

Transfers

The airport where you will be collected from and returned to along with the accommodation location will be detailed for each trip via the relevent trip web page.  It is essential that you confirm transfer times with us prior to booking flights to ensure that there have been no changes to the schedule. 

You must ensure that to use our transport service flights are booked to fit with our collections and drop off times stated above. Transfers for our trips will only be operated at the specified times which will be provided on your booking confirmation or via the webpage for the trip that you are confirming. If your flight is delayed by more than 1 hour 30 minutes then you will be responsible for all costs incurred before joining with the group.

Your medical obligations

It is your responsibility to consult with your regular doctor with regard to your current health and any existing or previous medical condition to ensure you are able to participate in the cycling activities that are arranged during your holiday. You must declare any condition to us at the time of booking and also to your travel insurance company. By signing the booking form you are confirming that your condition is fit for participating in the challenging activities included in the holiday you booked with us. We maintain the right to request a medical certificate at any time before the start date of your holiday.

Riding Etiquette & Equipment

To ensure all those participating in a trip have a high quality experience it is a condition of booking that you have a well maintained and recently serviced bike to ensure it is safe, in good working order and ready for the challenge of riding in the mountains. We also expect all clients to wear a cycling helmet (see 'Cancellation by us') at all times and to have checked before departure that it is in good order and free of damage.

Accommodation

All base trip prices are on twin occupancy of a room with a person of the same sex. 

Complaints

It’s very unusual for things to go wrong but if they do you should notify us or the supplier in question immediately either of whom will offer you assistance in resolving the problem. If you have a problem that can’t be resolved during your trip you must notify us in writing/email within 2 weeks of the final day of your holiday with us.

External companies

As we use other third party facilities (hotels, chalets, apartments, vehicle rental companies, transfer companies etc) to provide you with the diverse range of cycling holidays that you have asked for payment of your deposit & returning a completed booking form also means that you accept the terms & conditions of any company or organisation the we use to provide you with the services for the trip you have booked a place on.
